About Estela

Estela Psychiatry is a growing, insurance-accessible reproductive psychiatry practice based in Northwest Austin. We serve patients across Texas through a telehealth-enabled outpatient model and accept Aetna, BCBS TX, Cigna/Evernorth, Optum, and UHC. We are looking for an Office Manager to run our day-to-day operations and grow with us.

The Role

This is a hands-on Office Manager role with real room to grow. You will keep the practice running smoothly day to day while learning the systems that run a multi-provider group. You will work closely with our operations lead and the Medical Director, and you will have a direct hand in shaping how the practice scales.

What You'll Do

• Manage front-desk and patient communication workflows, including scheduling, intake, and cancellation policies
• Keep daily operations organized: provider schedules, patient flow, and office logistics
• Support billing and collections by coordinating with our external billing partner and flagging issues early
• Assist with onboarding new clinical and administrative team members
• Manage practice platforms and vendors (EHR, scheduling, and other tools)
• Support HIPAA and Texas telehealth compliance workflows
• Take on additional operational responsibility over time as the practice grows

What We're Looking For

• 2+ years in a medical or behavioral health office, ideally with some management or lead responsibility
• Strong organization, follow-through, and comfort juggling many moving parts in a busy practice
• A genuine interest in growing into a Practice Manager role as Estela scales
• Comfort learning new systems quickly; experience with an EHR is a plus (we use Charm)
• Familiarity with insurance, billing, or credentialing workflows is a plus
• Bilingual English/Spanish is a strong plus, given our patient population
• A warm, professional manner with patients and a steady, dependable presence for the team

Compensation and Benefits

• Base salary of $55,000–$65,000, depending on experience

• A path to grow into a Practice Manager role as the practice expands
